Incoming mail is read and sorted: a booking, a cancellation, a reschedule, a question, or something that is not from a customer at all.

Availability is checked live in your booking system or CRM and the appointment created with the right service, staff member and time, then confirmed in the reply with a calendar invite attached.

Only what needs you

You decide what needs you. Complaints, refund requests, allergy questions, groups of three or more and anything it is not sure about are the usual list, and it is fully customisable: add to it or take from it whenever you want. Anything on it goes into an approval queue with a suggested reply. Your team edits, ticks Approve, and it sends. The customer gets a short holding reply in the meantime.

Routine mail goes out on its own. Anything sensitive waits for a person.

  • Sent on its own. Bookings, changes, cancellations, prices, directions and policy questions are answered automatically, with checks that stop it inventing a slot or a price.
  • Held for a person. Complaints, refunds, allergy questions and anything it is unsure about land in an approval queue in a shared Google Sheet, with a draft.
  • It works inside your existing Gmail or Google Workspace mailbox through Google's own sign-in.
  • Quiet hours. It does not email your customers at 3am.
  • Draft mode. It writes every reply and sends none until you say so.

What if it gets something wrong?

You can run it in draft mode first, where it writes every reply and sends none, so you can read what it would have said. In send mode, everything it sends is logged, and anything it is unsure about is escalated rather than guessed.

Does it need access to my whole mailbox?

It needs read and send access to the Gmail or Google Workspace mailbox you nominate, granted through Google's standard sign-in and revocable at any time from your Google account. Bookings are written to your CRM with your API credentials. The working dashboard prunes itself after 2 days for conversations and 30 days for handled escalations.

What stops it inventing a price or a slot?

Services, prices, durations and staff come live from your CRM catalogue on every reply, and availability is checked there before any time is offered. A separate check reads each draft for an offered time or a promise to book, and blocks it if it does not match the live diary. It is tested against past dates and against the model claiming a booking is done when it is not.

How is my data protected?

You are the controller and we are your processor under the data-processing addendum in your contract. It runs on Google Cloud in London, replies are drafted by OpenAI under a signed data-processing agreement with no training on your data, and we can provide the email footer wording for your privacy notice, our current sub-processor list and a signed copy of the addendum.
